The GuildLink website contains is a collection of modules for helping manage some of the information within Pharmacy.
The first module AuditLink provides a means of storing and retrieving pharmacy quality system paper work in an orderly manner. Each Standard Operating Procedure (SOP) or Policy or other record, has a unique ID. Within each document there are a series of fields into which information is placed which can be later changed if required. Included are fields recording who whose responsibility it is to do this for each individual document, the frequency of review and the next date of review.
A document may refer to an appendix where more detailed information or a proforma may be accessed. The printed appendices are filed at the back of the Quality File.
Each document is printed and placed within the documentation folder and the appropriate fields are filled in on the bottom of each document.
Apart from various reports that can be printed with these documents there are also summary lists available as well as overdue lists.
Part of the automation facilities that the database features are the ”tasks” where frequent tasks can be set up in the database to remind staff to do them, for example, weekly refrigerator temperature checks, weekly dispensary cleaning, twice annual CD book reconciliation etc.
It is essential to realise that this is an ongoing process of review and documentation – this is essential for the integrity of the system, continuous quality improvement and audit. As the reviews are spread there should only be a minimal daily time input and the reviews are spread over the staff according to responsibility
All GuildLink data is stored in a securely online with daily backups. You no longer need to worry about backing up your GuildLink data as it is now a website you can now access it anywhere you have an internet connection.
